Security & Facilities

Digital duty handover for
security guards & facilities teams.

Replace the paper post book. The outgoing guard logs their duty report. The incoming guard reads it and clicks Acknowledge before their post begins. Every incident, access note, and open issue is permanently on record — named and timestamped.

The security handover problem

In security, the duty handover is already a professional requirement. The paper post book exists because the record is legally important. But paper gets lost, becomes illegible, and cannot be searched. When an incident is disputed, the paper trail fails.

The problem
A suspicious vehicle was noted in the car park during the night shift. The entry was in the paper post book — which the day guard didn't read. The vehicle was still there 16 hours later.
The problem
A broken gate lock was reported verbally at handover. Three shifts later, when an intruder was found, no written record existed of when the fault was first noticed or who was told.
The problem
The client asked the security company for the incident log from the previous 6 months. The paper books were in three different locations, some pages illegible. The client threatened contract termination.
The problem
A guard was accused of not completing their patrol rounds. The company had no digital record to defend the guard. The paper log had been signed but couldn't prove time or order of rounds.
How Loginboard works

Digital post book.
Legally defensible. Always searchable.

1
Outgoing guard logs their duty report
Before leaving post, the guard writes their duty report — patrols completed, incidents observed, access changes, open issues, and any critical flags requiring immediate attention from the incoming guard.
2
Incoming guard reads and acknowledges
When the incoming guard arrives, they log in and see the outgoing duty report. They cannot start their post — tasks or any board features — until they click "Acknowledge & Accept." Their name and time is permanently recorded.
3
Every entry is permanently recorded
Every log is timestamped and locked. Nothing can be edited. The security company has a searchable, dated record of every duty report going back years. Client audits become straightforward.
4
Guard reliability is objectively tracked
Each guard builds a record of duties completed, handovers acknowledged on time, and incidents reported. The company sees who their most dependable people are — from data, not memory.

The digital post book
that actually protects you.

Text-only. No file uploads. Works on any mobile device or tablet — at the gatehouse, in the control room, or walking the floor.

Duty Gate
Post cannot start without acknowledgment
The incoming guard cannot begin their duty until they have read and acknowledged the outgoing report. The critical alert, the faulty gate, the suspicious individual — all must be read before the post begins.
Critical Alerts
Open issues stay visible until resolved
Flag any entry as Critical — a broken lock, a security threat, an access change. It stays pinned at the top of the board until a supervisor logs a resolution. Nothing disappears between shifts.
Incident Log
Every incident named, timed, and tracked
Log security incidents with named entries and severity levels. Tracked through to resolution. Every entry is permanent and searchable. When a client or insurance company asks, you find the record in seconds.
Client Audit Trail
Years of duty logs, searchable by keyword
Every entry is immutably stored. Search by keyword, date, or guard name. When a client requests an incident history or an auditor visits, you produce the complete record without a filing cabinet.
Multi-Site
One board per site, managed centrally
Each site gets its own board. Operations managers and supervisors can be added to every board. All sites visible from one login. Consistent standard regardless of which guards are on duty.
Guard Record
Objective reliability data for every guard
Each guard's duty completion rate, acknowledgment record, and incident reports are tracked automatically. Reliable guards are visible. Performance reviews become factual, not subjective.
Common questions

Security teams ask us:

Can guards use this on a mobile phone?
Yes. Loginboard is a web app that works in any mobile browser. Guards log in with their own account from any device. No app download is required.
Is this suitable for a company with multiple client sites?
Yes. Each client site gets its own board. Operations managers can be added to every board and see all sites from one login. The duty log for each site is completely separate and private to that site's team and management.
Can we use this as evidence in a dispute or insurance claim?
Loginboard produces an immutable, timestamped record of every duty log, incident report, and acknowledgment. While we always recommend consulting your own legal and insurance advisors, the permanence and named attribution of every entry is specifically designed to support documentation requirements in operational disputes.
What happens if a guard forgets to acknowledge before starting their duty?
The supervisor can see in the audit log whether the acknowledgment was made and at what time. If it was skipped, the record shows that — which creates its own accountability and supports correct procedure enforcement.
